ATS data migration

Switch your ATS without leaving a single applicant behind

Betterleap moves your candidates, applications, requisitions and resumes from the system you are leaving into the one you are adopting: cleaned, deduplicated and enriched with current contact data. Your recruiters start day one on the new ATS with the full history behind them.

Why it matters

You've spent years building your talent pipeline. Don't start over.

Switching ATS platforms is more than moving candidate records. Years of applications, hiring decisions, and candidate relationships need to find their place in a new system, often with different data structures, fields, and workflows.

The history is the asset

Past applicants, silver medalists and former employees are the fastest hires a health system has. Lose the dispositions and you lose why each was close.

Mergers double the problem

Two health systems, two ATSs, overlapping candidates and two sets of stage names. Consolidating means choosing which record wins.

Retired systems cost money

A read-only archive kept alive for its records is a licence fee, a server and a compliance question that never goes away. Moving the data out ends the bill.

What Betterleap does

We move your recruiting history to your new ATS.

Betterleap extracts, cleans, and maps your historical recruiting data to your new system, with validation and reconciliation built into the migration process.

  • Extract historical data. Retrieve candidate profiles, applications, requisitions, and attachments through integrations, file exports, or database access where available.
  • Clean and map records. Deduplicate candidates, refresh contact details, and map application stages, statuses, and dispositions to your new ATS.
  • Validate the migration. Document exclusions and flag exceptions for review before go-live.

Scope

What data moves, and what data stays behind

The field mapping and the exclusions are agreed on before the first record moves, so what lands in your new ATS is exactly what you expected.

RecordWhat we carry across
CandidatesProfiles, contact details, work history, education, and the licenses and certifications on record. Names are cleaned of stray credential suffixes.
ApplicationsEvery application with its requisition, applied date, stage, status and disposition reason, mapped to the new system's stages.
RequisitionsOpen and closed jobs with title, department, facility, location and status, so each application still points at the role it was for.
AttachmentsThe documents attached to each candidate and application, carried with the record they belong to.
Flags and tagsInternal and former-employee markers, candidate sources, tags, and withdrawn or do-not-hire flags.
Contact dataEmails and phone numbers validated on the way across; stale ones replaced from Betterleap's network of 35M+ healthcare professionals.

ATS migration process

How an ATS data migration works, in four steps

  1. Assess

We connect read-only to the system you are leaving, whether through its integration, a scheduled file export, or a direct read of a retired database that has no API left. We count every record, confirm the population with you and agree the field mapping and exclusions.

  2. Extract and normalize

The full history is read into one healthcare candidate model: people, applications, requisitions, documents. Stages and dispositions are mapped to their equivalents in the new system, so closed applications stay closed.

  3. Deduplicate and enrich

One record per person, even when two systems or two divisions each had their own. Contact details are validated and refreshed, withdrawn and do-not-hire flags are carried, and anything excluded by rule is logged as excluded, not dropped.

  4. Load and reconcile

Records are loaded through the target system's supported import route, then reconciled: every source record is reported as loaded, skipped by rule or failed with a reason. You receive that report before the old system is turned off, never after.

Why Betterleap

Built by the team that already syncs with healthcare ATSs

Betterleap's rediscovery product keeps 25+ ATS integrations in sync for health systems every day. A migration uses the same connectors, the same healthcare data model and the same reconciliation, pointed at a new destination.

Connected to the systems you run

Workday, Oracle, Taleo, iCIMS, UKG and symplr are the systems our customers' candidate data already flows through, in both directions.

Reads what has no API

Retired instances, file exports and archived databases are read directly, so a vendor contract that has ended is not the end of your data.

A healthcare data model

Licenses, certifications, specialties, facilities and the stage codes each ATS uses are first-class fields, not free text to be sorted out later.

Verified by count, not by hope

Nothing is signed off on a sample. Every record is accounted for, and the report is yours to keep for the audit trail.

Common moves

The ATS data migrations health systems ask us about

Taleo to Workday

The move we see most often. Years of Taleo applications and dispositions come along into Workday instead of staying in an archive nobody can search.

Onto Workday from anything

iCIMS, UKG, symplr or an in-house system into Workday Recruiting, with stage history mapped to Workday's own codes.

Two systems into one after a merger

Both histories deduplicated into a single record per person, with a clear rule for which system wins when they disagree.

Retire an archive for good

Move the records out of a read-only instance you are paying to keep alive, keep a searchable copy, and end the contract.

Frequently asked questions

Will our recruiters lose access to the old system while the data moves?

No. We only read from the system you are leaving; nothing is written to it and nothing is deleted. It stays live for your team until the reconciliation report shows every record accounted for in the new ATS and you decide to switch it off.

What if the old system has no API, or the vendor contract has already ended?

We read whatever is still there. A scheduled file export, a database backup, a read-only archive instance the vendor left behind: each is a path we have built on. The assessment confirms which one applies to you before anything is scoped.

Can we move only part of the history?

Yes. Scope by date range, division, facility, requisition status or candidate status. Many teams move every applicant from the last few years and archive the rest; the reconciliation report covers both groups so nothing is simply lost.

Do we have to use Betterleap for recruiting to use the migration service?

No. The migration is a standalone project with its own scope and price. Teams that already use Betterleap get one extra benefit: the migrated history is searchable in Betterleap the day it lands, so past applicants can be re-engaged for open roles instead of waiting for the new ATS to catch up.

How long does it take and what does it cost?

Both depend on the volume of history, the systems on each side and how much cleanup the data needs, so we scope them after the assessment rather than quoting a per-record rate. The assessment itself produces a dated plan you can hold us to.
