How Do I Start a Sequence?

A sequence is the emails a project sends: an initial message and its follow-ups. It starts sending when the project is launched, and the way you get there depends on the project type. In an Agent project the agent finds the candidates and drafts the emails, so launching is mostly a matter of checking its work. In a Manual project you pick the candidates and write the emails yourself, so there's a little more to set up before Launch does anything.

Both start the same way: on the home screen, describe the role in the box under "How can I help you today?", choose Agent or Manual from the dropdown underneath, and press Enter. See Your First Project from a Prompt if you're new to this.

Before anything can send

Whichever type you use, three things have to be true. Launch checks them and tells you what to fix:

  1. A connected mailbox. Emails send from your own Gmail or Outlook account, connected in Settings. See Your Profile, Time Zone and Email Sending.
  2. A complete sequence. At least one step, and every step with a subject and a body.
  3. A send-on date that hasn't passed, if you set one on step 1. See Sending a Sequence on a Future Date.

Starting a sequence in an Agent project

  1. Check the search. On the project's Search tab, read the Search Instructions the agent wrote from your prompt and look at the preview of matching candidates. Add rules ("Must have NICU experience", "Exclude travel nurses") until the preview looks like people you'd call. This is the list the sequence will go to.
  2. Review the emails. Open the Sequence tab. The agent has already drafted the initial outreach and its follow-ups; edit the subjects, bodies and timing as much as you like, or Apply template to use one of your team's. Use Send test to see a step in your own inbox. See Building a Sequence.
  3. Set step 1's send time. In the step editor, Send at a set time (a time of day), Send immediately, or Send on a future date. Weekend and holiday switches are behind the settings button in the toolbar.
  4. Launch. The Launch button has two modes, described below.
  • Launch supervised: the agent sources candidates and queues them as Needs Review on the Candidates tab. Nothing sends until you approve them. Approved candidates get step 1 at the next send time.
  • Launch full agent: the agent approves for you. Sourcing and sending start on their own, every sending day, within your daily limit.

From here the sequence runs itself: the agent keeps adding candidates and sending them the steps from your mailbox. You can switch a supervised project to full agent later from the More actions menu. To stop, Pause.

Tip: For a new search, launch supervised and approve the first batch by hand. If the first twenty look right, switch to full agent; if not, tighten the instructions before the agent has emailed a hundred people.

Starting a sequence in a Manual project

  1. Add candidates. Nothing is sourced for you. Use the project's Search tab (click New to run a search, then Add to sequence on the people you want), the sidebar Search page (Add to project), or import a file (see Importing Candidates from a File). Added candidates appear on the Candidates tab as Pending.
  2. Build the sequence. The agent doesn't write it for a Manual project. On the Sequence tab, write the initial outreach and Add email for each follow-up, or Apply template and adjust it. Every step needs a subject and a body. See Building a Sequence and Sequence Templates.
  3. Set step 1's send time, exactly as above: a set time of day, immediately, or a future date.
  4. Launch. A single Launch button; there's no supervised mode because you chose everyone yourself.

Once launched, Pending candidates get step 1 at its next send time. With Send at a set time, someone you add after today's time goes out tomorrow at that time, not right away. To send to someone now, select them on the Candidates tab and use Send First Step, which ignores the send window. You can keep adding candidates after launch; each one joins the sequence at step 1.

Which order?

In a Manual project it doesn't matter whether you add candidates or write the sequence first, as long as both exist before you launch; a launched project with no candidates simply waits. In an Agent project the candidates arrive after launch, so get the instructions and the emails right first.

Frequently asked questions

I launched and nothing has sent. Why?

Usually one of: step 1 is set to a time of day that hasn't come yet today (or came before you launched, so it sends tomorrow); the project is a Manual project with no candidates added; the candidates are Needs Review in a supervised Agent project and need approving; today is a weekend or holiday and those switches are off; or your mailbox has disconnected. The Candidates tab shows each person's status, and a Pending candidate's ⓘ icon explains what's holding them. See Troubleshooting Email Sending.

Can I start the sequence for one candidate without launching?

No. Launch is what turns sending on. After launch, Send First Step sends step 1 to selected candidates at once, outside the send window.

Some candidates are Pending with an ⓘ icon and never send.

They're in another project's active sequence, or inside your cool-off period after one. The icon shows which project is holding them and until when. See Cross-Project Contact Rules and Sourcing Settings and The Cool-off Period Between Sequences.

Can I change the emails after the sequence has started?

Yes. Edits apply to steps not yet sent. The format (plain text, HTML, HTML blocks) is locked once launched.

Can I turn a Manual project into an Agent project to get sourcing?

No, the type is fixed. Start an Agent project with the same prompt and copy across the candidates you want to keep.
